The Rocket City FurMeet (RCFM) is required to collect Alabama state, Madison County, and Huntsville City sales taxes totaling 8.00% on each and every item sold in the Barnyard Market, Artistsí Alley, and the Art Auction. In an effort to simplify this for our vendors and artists, RCFM will provide and enforce a central cash register system in the Barnyard Market as well as in the other necessary areas. The Barnyard Market Commander, or an appointed associate, will staff these registers at all times. The central registers will be located in the Barnyard Market near the entrance, the Artistsí Alley near the door, and in the Art Auction area on Sunday afternoon for easy access to all convention attendees and Vendors. Purchases may be made at the closest available register.
All sales must go through the central register. At that time, sales tax will be added to the subtotaled purchase amount and the money for the sale and taxes will be collected from the purchaser. Sales tax collection will in no way affect the monies paid to the vendor. Any vendor or artist who is found to be selling merchandise "under the table" will be asked to leave the Barnyard Market or other area and will have their Meet badge removed by the Barnyard Market Commander.
Vendors and artists will be supplied with purchase slips to fill out for each purchase. The purchaser must then go to the central register and pay for his or her items. At that time, the buyerís purchase slip will be validated and the buyer will present this slip back to the vendor or artist to collect his or her merchandise. Vendors and artists are asked not to release any merchandise without this validated slip. Any Vendor who is found to be releasing merchandise without a validated purchase slip will be asked to leave their respective area and will no longer be allowed to sell items at the Meet.
This is being done to prevent any misunderstandings with the Alabama State Tax Code and its enforcement at the Meet. The Rocket City FurMeet is responsible for collecting taxes on any item sold at its event. This includes, but is not limited to, commercially available products, original artwork, commissioned artwork, comics, videos, and garments. Taxes collected will be collected in addition to any sale price set by the vendor. The collection of sales taxes will in no way affect the vendors' bottom line as to what is being charged for their items.
If you wish your items to be priced including taxes, please calculate those amounts based on a tax rate of 8.00%. For example, if you sell an item and want the price including taxes to be $5.00, then you will need to price your merchandise at $4.63. The total with taxes will then be $5.00. Otherwise, the taxes will be added on top of the original purchase price, not affecting the vendorís amount collected for the sale.
We will be accepting cash and credit cards. Credit Cards will be processed by RCFM or a similar business designee.
The Barnyard Market staff will make every conscious effort to provide as much space as possible for Vendors while maintaining proper isle space to stay in compliance with the Madison County Fire Marshall. We ask that all vendors try to contain all of their items behind the front of their tables and not to block the aisles. Please utilize space under and behind your table for storage. Also, please make a conscious effort to keep items from between the tables as well to ease access of other vendors. We also request that vendors limit the number of people behind their table to two people per table. If there are any special requests, please present them in writing via email to the Shirokuma on or before February 28, 2007. Barnyard Market associates will make every effort to comply with these requests but cannot guarantee anything. All requests will be taken on a first-come, first-served basis. The Barnyard Market Commander's email address is email@example.com.
Each table will be approximately 72 inches long and 36 inches wide. Each table will be covered with a single tablecloth and will be provided with two chairs. Please do not place more than the provided number of chairs behind each table. If you would like to cover your tables at night, please provide your own cloths to do so. The hotel will not provide any additional table cloths this year for this purpose.
There will be a limited number of tables available with power outlets. If there is an outlet behind your table, please feel free to use it. There is no cost. However, limit your use to only one outlet as another vendor may wish to have power as well. If you would like to run an extension cord you may, however you must have permission of any vendor whose table your cord will be behind and the cord must not cross any public walking areas unless sufficiently protected and safe for pedestrian traffic. Please tape any cords to the floor behind the tables to eliminate tripping hazards. If you need an outlet for your table (laminator, computer, TV, etc.), please inform the Barnyard Market Commander by February 29, 2007. The email address is firstname.lastname@example.org. Failure to notify him may result in your table assignment not being near an electrical outlet.
Vendorís may share table space. However, each vendor must be registered and pay for a space in the Barnyard Market.
The Plantation Room has several doors that lead to the outside. You may not block these doors for any reason whatsoever. These are fire doors and must be accessible in the event of an emergency. If you are found to be blocking these doors, you will be given one warning. On the second offense, you will be asked to leave the Barnyard Market and will not be allowed to sell any merchandise at this yearís convention. The entrance to the kitchen area will be marked off limits. Anyone who ignores this warning will have his or her badge removed immediately.
Most items may be sold in the Barnyard Market provided that such items are not illegal in the state of Alabama and the City of Huntsville (meaning pornography, pornography involving minors, firearms and other restricted weaponry, etc.). In more understandable terms, all material in the Barnyard Market must not be accessible to minors if they contain any content of an extremely violent and/or sexually explicit nature. This means kept in a closed binder or folder clearly marked as adult. Adult art, in progress, must be concealed from public view. Occasional sweeps of the Barnyard Market will be made to assure compliance. Post-it note cover-ups are not acceptable. If in doubt, please ask the purchaser for identification. Should it come to the attention of the Barnyard Market Commander that a Vendor has been selling sexually explicit material to a minor, that vendor will be asked to leave the Barnyard Market and will have their Meet badge removed by the Barnyard Market Commander. There will be absolutely no exceptions to this rule.
No pirated materials are allowed at RCFM. There will be no exceptions. Reproductions of commercial media such as Disney, Warner Brothers, and Twentieth Century Fox, Pixar or any other materials that violate copyright laws will not be allowed. All materials must be either owned by the vendor or approved for sale by the owner of the material. Compilations of art must have the approval of the originating artists. Publications where artists have previously approved their art are the exception. Vendors who normally sell items such as Comics and other collections will be allowed to do so at RCFM provided they show proof that they are a legally authorized business to do so in either a retail setting or via the internet.
The selling of weaponry or potentially dangerous items is allowed within the guidelines of Alabama State law. However, all responsibility for injury due to the handling of such items is the sole responsibility of the vendor. The Rocket City FurMeet, Inc. will not be held accountable for items sold to convention attendees in the Barnyard Market. All items of this nature must be wrapped in a protective manner at the time of sale. Said items must be removed directly from the Barnyard Market and public areas to a private room, vehicle, or location outside the Rocket City FurMeet Convention spaces. If you would like the sale to be escorted by security, please inform the closest Barnyard Market Associate.
Please note that electronic devices of any kind are prohibited from sale under Huntsville city law without a special license and are therefore prohibited in the Barnyard Market. The Barnyard Market Commander will have the final say over what is and what is not appropriate in the Barnyard Market.
Please avoid any over-stimulating displays such as flashing lights, noisemakers, or smoke generators. Please try to maintain a comfortable level of sounds from other displays so as to not disturb other vendors or Meet attendees.
These rules and regulations are in no manner a complete list and any disputes that arise will be settled directly by the Barnyard Market Commander or his assistant. This ruling will be final and with no rebuttals.
Rocket City FurMeet, Inc. is not responsible for any purchases made before, during, or after the convention from any vendor represented at the convention.
If you have a complaint regarding a vendor, please bring it to the attention of the Barnyard Market Overseer. However, RCFM simply processes transactions for each vendor and will not be held accountable for any of the following:
In the event of a complaint or problem, RCFM will act in the best interest of the purchaser and vendor to assist in resolving a problem, but RCFM will not make financial restitution for any item.
In the event of multiple complaints regarding a specific vendor, Rocket City FurMeet, Inc. will carefully examine each situation. Should a vendor be found to be negligent on multiple occasions, that vendor may be asked to leave the Rocket City FurMeet and will not be invited back for the next year.
We hope that everyone has a wonderful time at this yearís Meet and enjoys the Barnyard Market.
